MOONHUB Dashboard Setup Checklist (For Admins & Managers – Updated 2025)

This checklist will guide you through setting up your MOONHUB dashboard, managing your teams, and getting your learners up and running.

1. Activate Your Account

Before anything else, activate your MOONHUB account to access the platform and start configuring your organisation’s setup.

Steps:

Look for your “VR Training Registration” email from hello@themoonhub.com.
(Check your spam folder if you don’t see it.)
Click "Start Learning".
Set your password to activate your account.
Log in to the MOONHUB Dashboard and begin setup.

2. Create Groups & Assign Training

The Groups tab is now a key feature in structuring your organisation. Groups help organise learners by team, department, or site, and they make training assignment and reporting much easier.

Why Use Groups?

Customisation: Assign relevant training suites based on role or location.
Permissions: Managers only see learners within their assigned groups.
Reporting: Pull detailed insights and progress reports by group.
Scalability: Quickly add new learners or managers without disrupting setup.

How to Create a Group:

Go to the Groups tab in the dashboard.
Click "Create New Group".
Name the group and add relevant Managers and Learners.
Assign training suites specific to this group’s needs.

? You will automatically be added to any group you create

Learners can be in multiple groups, and groups can have multiple Managers—giving you flexibility without losing control.

3. Add Additional Managers (Optional but Recommended)

Give your team leaders oversight of their teams from the start. Adding Managers early allows for decentralised onboarding and easier day-to-day management.

Benefits:

Oversight: Managers can view their learners' training status and scores.
Delegation: Managers can create groups and assign learners.
Efficiency: Admins spend less time handling granular tasks.

Steps:

Select the Group you would like to add the Manager to
Click + on the total users card .
Fill out the required information and assign the role as manager.

4. Add Learners

Once Groups and Managers are set, it’s time to bring in your Learners.

Two Easy Methods:

Single Learner Upload: Use for ad hoc additions.
Bulk CSV Upload: Ideal for larger teams—use the template provided on the dashboard.

Tips for Accurate Setup:

Use the “Manager Email” column to link learners to their manager.
Ensure the learners' email addresses are correct to avoid missed activation emails.
Use the “Managed by” field for single uploads if needed.

What Happens Next:

Learners receive an email to activate their accounts.
Once activated, their status updates from “Inactive” to “Active.”
They can then log into the VR headset and start their training with their credentials.

5. Manage Users Easily

With the updated User Management tools in the dashboard, Admins and Managers can:

Edit user details (name, email, role).
Resend activation links.
Remove users when needed (⚠️ note: this deletes all training data).
View status (active/inactive) and performance metrics.

All of this is managed through the Learners or Groups tabs depending on role access.

6. Understand Roles & Permissions

7. Use Group-Level Analytics & Reports

Analytics are most powerful when your team is grouped properly. You’ll get detailed insights into:

Training completion rates
Performance by scenario or suite
Spot-and-Jot scores by user and team

Managers can pull reports just for their groups, while Admins get organisation-wide data.

? Final Tip: Assign a VR Champion

For large teams, we recommend designating a VR Champion—someone who supports managers, handles headset setup, and ensures smooth training rollouts.
